The Executive Personal Assistant provides proactive, professional, effective and efficient assistance and support.
Ensure an efficient operations practices and process is planned, executes and delivered with excellence:
Assist Business Head by being proactive and contributing to the ease of business, effectiveness, efficiency and new initiatives.
Conduct research and presenting findings on various projects and processes
Assist in the design and collation of presentations and all materials for various executive meetings for Business Head – produce documents, briefing papers, reports and presentations
Assist with Business Head’s responsibilities and working more closely with Ulwembu Business Services management team
Devise and maintain office systems, including data management, filing, and monthly reporting
Arrange and manage all logistics activities including events (travel, visas, and accommodation) for Business Head
Perform an efficient and accurate process administration functions involving the compiling and arranging of data and administrative function
Prepare, sort and capture data and information accurately and efficiently, complete documentation as per departmental guidelines in order to meet client needs
Take ownership of all queries , escalated and unresolved queries and ensure they are resolved timeously and effectively
Deal with incoming email and corresponding on behalf of Business Head where needed
Schedule appointments, organizing and maintaining diaries to ensure that the Business Head makes the best use of their time
Escalate unresolved queries to the correct area to minimize user delays
Utilize IT systems effectively, to ensure accuracy of documentation
Adhere to all procedures and processes to improve service delivery.
Liaise with clients, suppliers and other staff.
Meet and greeting visitors
Take responsibility for accounts, budgets, and payments.
Enable client-centricity within an area of responsibility:
Build and maintain relationships with clients and internal and external stakeholders
Deliver on service level agreements applicable to clients and internal and external stakeholders in order to ensure that client expectations are managed
Make recommendations to improve client service and fair treatment of clients within the area of responsibility
Participate and contribute to a culture which builds rewarding relationships, facilitates feedback and provides exceptional client service
Continuously monitor turnaround times and quality standards and resolve issues speedily to enhance client service delivery
Deliver on expectations to clients and internal and external stakeholders in order to ensure that client expectations are managed
Deal with clients in a competent, efficient and professional manner in accordance with the quality standards.
